Overview

The Legal Operations Analyst plays a critical role in optimizing the efficiency and effectiveness of the legal department. This position supports strategic initiatives, manages legal technologies, analyzes data, and improves processes to ensure the legal team operates at peak performance. The ideal candidate is detail-oriented, tech-savvy, and passionate about driving operational excellence in a legal environment.

Responsibilities

Key Responsibilities:

· Process Optimization:

Support the execution and continuous improvement of the eDiscovery program, processes, and SOPs.

Identify and implement improvements to legal workflows, matter management, Legal Hold processes, and other operational functions.

 

· Technology Management:

Execute recurring operational tasks: monitor the eDiscovery mailbox; manage legal hold communications; support collection workflows; and promptly escalate issues to senior team members.

Administer legal technology platforms (e.g., Exterro, legal hold management systems), including matter setup, custodian updates, legal hold acknowledgment tracking, and reporting. Support user adoption and liaise with vendors.

 

· Data Analysis & Reporting:

Assist with data preservation and collections workflows under guidance from senior team members.

Collect, analyze, and report on legal department metrics (e.g., collections, legal hold compliance, matter status) to support strategic decision-making.

 

· Vendor Management:

Assist in managing document collections and data deliveries, evaluating vendor performance against department data processing requirements.

 

· Project Management:

Lead or support cross-functional projects, including system implementations, compliance initiatives, and process redesigns.

Prepare and update presentation materials for engagement initiatives and client deliverables.

Support multiple concurrent projects and priorities, escalating risks and dependencies early.

 

· Knowledge Management:

Maintain legal department documentation, templates, and playbooks to ensure consistency and accessibility via SharePoint.

Develop strong client relationships through collaborative, consultative service and dependable follow-through.

 

· Compliance & Risk Support:

Collaborate with legal and compliance teams to support new application on-boarding, reporting and tracking new applications, and risk mitigation efforts.

Qualifications

Qualifications:

· Bachelor’s degree in Business, Legal Studies, or related field (JD or paralegal certification a plus)

· 2–5 years of experience in legal operations, legal project management, or a related role

· Strong analytical skills and proficiency in SharePoint, Power Point, Excel, Power BI, or similar tools

· Experience with legal tech platforms (e.g., Exterro, Ironclad, Onit, SimpleLegal, NetDocuments)

· Excellent communication and organizational skills

· Ability to manage multiple priorities in a fast-paced environment

· Familiarity with legal processes and terminology

 

Preferred Skills:

· Lean Six Sigma or project management certification (e.g., PMP)

· Experience in corporate legal departments or law firms

· Understanding of legal hold systems and M365
