About the Role:

This role is responsible for supporting the smooth running of People & Development initiatives across Australia, with a specific focus on our Sydney team. You will receive exposure to all elements of the employment lifecycle, including coordinating recruitment administration, onboarding and offboarding processes for staff, wellbeing initiatives, staff engagement, event planning, payroll support, and general administration support to our secondees. You will also provide general administrative support to our Sydney office to facilitate its smooth running.

Responsibilities

People & Development 

  • Deliver administrative and coordination support across the employment lifecycle for Australia secondees.
  • Facilitate HR inductions for new Sydney secondees and manage end-to-end onboarding and offboarding processes.
  • Act as the first point of contact for secondees, assisting with IT troubleshooting, payroll queries, and general support.
  • Conduct reference checks for paralegals and lawyers to support the recruitment of flex talent across Australia.
  • Coordinate external background checks, including Criminal History Checks, as required.
  • Migrate candidate applications from SEEK into the ATS platform (Bulhorn) and maintain accurate records.
  • Support ATS audits, maintain HR files in SharePoint, and contribute to ongoing process improvements.
  • Regularly update candidate, secondee, and talent pool data within Bullhorn.
  • Maintain and update LOD secondee profiles following assignment completion.
  • Assist the People & Development team in verifying practising status of lawyers and liaise with relevant Law Societies.
  • Coordinate annual practising certificate renewals and reimbursements for Sydney-based lawyers (and other offices as needed).
  • Manage ACC and LexisNexis memberships for eligible Sydney lawyers and consultants.
  • Support staff engagement initiatives, including coordinating birthday vouchers and general gifts, and supporting broader projects to increase the engagement of staff.
  • Upload monthly expense reports on behalf of Australia-based secondees.
  • Contribute to process improvement initiatives across the People & Development function.
  • Oversee time reporting processes for secondees across Australia.

 

Event Planning

  • Work closely with the national P&D and CS teams to plan out yearly events for secondees and clients, including EOFY and Christmas dinners, CLEs, GC lunches, Life with Law sessions etc.
  • Liaise directly with venues for bookings and manage diary invites and RSVPs.

 

Office Administration

  • Other general administrative duties for Australia offices as required, including arranging couriers, stationary ordering, office furniture ordering, managing office mail, business cards, scanning and filing as required.
  • Liaise with building management as required and maintain Fire Warden responsibilities.

Qualifications/Key Skills Required

  • Tertiary qualifications in business, administration and/or human resource management
  • Self-motivated, positive, organised and detail orientated and able to manage multiple and changing priorities
  • Intermediate to advanced computer skills including Word, Excel, MS Outlook and PowerPoint
  • Strong communications skills and the ability to get along well with others in a small team
  • Demonstrated experience in similar role, ideally in professional services or recruitment related business
